Alert Level 4: Lockdown from midnight 19th December

All of Wales is at alert level 4, the national message is to stay at home and only venture out if it is essential, for example to access health care, for shopping, to exercise outdoors, to support someone who is vulnerable, or for work purposes.

You must now work from home. If your role doesn’t allow you to work from home, or it is deemed essential that you attend your place of work, the social distancing regulations remain unchanged – it is vitally important that you follow these regulations.

Video Calling External Users

The CCC User - Setting Up The Meeting

Go to your Outlook calendar and click on ‘New Skype Meeting’ at the top of the page. Then set the meeting up as you would any other internal meeting request. However, ensure that you enter the full email address of the public user (you want the skype meeting with) in the ‘Required’ section. Then send the meeting request and the public user will receive this as an email.

At the time of the meeting, double click on the meeting appointment in your Outlook calendar and click on the ‘Join Skype Meeting’ link.

The Public User - Using a Mobile Phone

The public user needs to download Skype for Business (must be Skype for Business not Skype) themselves on their mobile phone first. They just need it downloaded; they don’t need to sign into it. As long as it is installed on the phone that’s fine.

At the time of the meeting, they need to go to their emails on their mobile phone, find the Skype meeting request email from the CCC user, and click on the ‘Join Skype Meeting’ link in the email. This should then load up the Skype for Business app on their phone. They then click ‘Join as Guest’, and type their name, before clicking the arrow icon below.

During the meeting they can turn on their video by clicking on the video icon, and turn on their mic by clicking on the mic icon.

The Public User – Using a Laptop/PC

Once the meeting has been setup, and sent out by the CCC user, the public user will receive an email to their inbox. The public user should click ‘Yes’ to accept the meeting request as soon as they get the email. Then, at the time of the meeting, they will go back to the email in their inbox, and click ‘Join Skype Meeting’. Please see the image below:

The public user will then be taken to a page like the one in the below image, on this screen they need to click ‘Install and Join with Skype Meetings App (Web)’.

Once they click on ‘Install and Join with Skype Meetings App (Web), they will be prompted to install some software (called ‘SkypeMeetingsApp’), they need to download, run and install this software.

Once they run this software, they will see the below screen. Here they type in their name in the text box and click the ‘Join’ button.

The user will then be in the skype meeting, and will see the below window. By default, the public user’s mic will be muted, and their video will be off. To unmute the mic and turn on the video they need to click the two icons highlighted by the red squares in the image below.

Please note:  If the public user has not used Skype before, it can take some time to access via the web app.  It is worth them trying to sign into the meeting at least 15 minutes before the scheduled time, to see if they can connect.  They can leave and re-join the meeting at any time.
