How do external users register for MFA?

As part of ongoing efforts to enhance security Microsoft are making a critical change to how files are shared externally from OneDrive.  Previously shared links will no longer work, and external users must be re-invited.  

When this will happen:

  • The change will be enforced by Microsoft during July 2026, external users will no longer be able to access files, folders, or sites via links that were shared before this change.

How this will affect shared links:

  • Previously shared links that used the One-Time Passcode (OTP) will no longer work. External users will be required to complete multi-factor authentication (MFA) registration instead of using the OTP.

External users attempting to use these older links will encounter the error message “Sorry, something went wrong. This organization has updated its guest access settings. To access this item, please contact the person who shared it with you and ask them to reshare it with you.”

What you need to do to prepare:

  • To restore access, you must reshare the file or folder, with the intended external collaborators.
  • Provide instructions MFA Enrolment for External Users to the external users on how to register for MFA in order to access the shared data.
