Frequently asked questions about Purchase Orders and Invoices

A requisition is a request for goods/services that requires authorisation by the budget holder before an official purchase order is created. 

On main menu, select the Procurement module from the left hand side.

In the Requisition section, expand the enquires folder and select Workflow Enquiry - Requisition. Enter the requisition number and press search. You will be able to see the status of the requisition in workflow and also open it up to see the workflow map. 

You can amend a requisition's details before it is authorised but you cannot delete any rows. 

Select the Procurement module form the main menu, expand the Enquiries folder in the Requisition section and select own requisitions.

Click on the highlighted requisition number to open the requisition in the editing screen. 

If you need to delete rows, you will need to close the requisition and raise a separate one. You can do this in the same requisition editing screen but changing the status from active to closed.

 

You can request a new supplier to be set up via Unit4 ERP New supplier form available. This will then be authorised by an appropriate authorised user and will go to the creditors team for evaluation before being set up.

There two jobs that run every hour on the system, one that turns the requisitions into purchase orders and another one that creates the purchase order document.

Depending what time the requisition has been authorised depends on what time the requisition will be transferred. 

If you believe that your requisition has been waiting more than two hours to be transferred after being authorised, please email the Systems department. 

If you have a Purchase order that is no longer required, please email CR Finance Systems with the PO number you would like to cancel and the reason for cancelation. 

Please make sure that no invoices relating to the PO have been sent to the payments department or sitting on the system waiting payment. 

You should always order actual quantities line by line on a quantity based purchase order to show what is being purchase. 

You should not consolidate your purchases to one line on a quantity based purchase order. Please see financial regulations for more information.
