Frequently asked questions about the council's Financial Management System - UNIT4 ERP.

If you believe you (or a member of your team) will benefit from having a UNIT4 account, fill in our UNIT4 User Form with your desired access (You may need to make sure you're on the Authorised Signatory List for certain access) and have your line manager forward the form to CR Finance Systems as a form of authorisation. 

Make sure you read the form carefully and fill it in correctly to avoid delay in setting up a user.

A member of the systems team should have provided you with log in details when your account was created. 

Usernames are usually your initials after an f followed by the last 3 digits of your employee number e.g. fabc123. Due to certain circumstances this may vary. 

The client will always be CC. 

If you have forgotten your password, or have any other issues with logging in, please contact Systems.

You can find a general enquires guide in the systems resource section on the intranet but if you require a specific form of system training, please contact Systems to arrange a session.

If you have forgotten your password, please contact the Systems team for a password reset.

When setting up a new password, it must be at least 8 characters long, at least 1 uppercase, 1 number and contain a special character. 

Special characters are any of the following: @#*!$%?=~^+

Passwords expire after 120 days, you will receive a notification 5 days before where you will be given the option to change it early.

If you enter your password wrong, you will be given 5 attempts before you will be locked out of your account for 10 minutes.

If you have forgotten your password, please contact systems. 

 

Please log a call with the IT helpdesk if you are unable to access UNIT4 via RDS.

The options available to users depend on the roles assigned to their account.

If you believe your access is incorrect, please contact Systems. 

 

If you have been inactive for more than 90 consecutive days, your account will be parked. 

If you would like it reopened, please fill in the user amendment sheet on the UNIT4 User form and have your line manager send it to CR Finance Systems as a form of authorisation. 

On the main menu screen, select 'Your Employment' module to the left hand side. Select 'Activate your substitutes'.

Change the Absence Status to 'I'm currently out of the office' and change the date range to the dates you will be away. 

Can you then Add valid substitutes in the Substitutes field for the date range you require. 

If you are unable to add the user you would like as your substitute, please contact the systems team to assist you.

All substitutes must have the same level of authorisation rights as yourself on the Authorised Signatory List.

You may not be the only approver on a particular workflow. If you happen to go into your tasks and they are no longer there, another authoriser has approved the task.

You can not approve a requisitions or invoices if you have the ability to raise requisition. There are controls in place to ensure this does not happen. 

If you think you should be an approver, please contact the Systems team.

To be authoriser you must be on the authorised signatory list with the correct authorisation right.

To be an approver you must be on the authorised signatory list with the appropriate authorisation rights. 

If you already have an account, you can fill in the user amended sheet on the UNIT4 USER FORM with the codes you are required to authorise. Please have your line manager send it to Systems as a form of authorisation. 

Take a screenshot of the error and forward it to the Systems team.

The systems team can set up substitutes on behalf of absent users. Please send us an email stating the date range of absence (or an approximate if length of leave is unknown) and the user to be the substitute.

 

On main menu, select the Procurement module from the left hand side.

In the Requisition section, expand the enquires folder and select Workflow Enquiry - Requisition. Enter the requisition number and press search. You will be able to see the status of the requisition in workflow and also open it up to see the workflow map.
