Set or change your profile image on Microsoft Teams
Page updated: 03/07/2024
For those of you that attend online or hybrid meetings, you will be familiar with using Microsoft Teams software to conduct meetings and informal discussions. You will also be aware, through this software, of how important it is to remain connected visually with camera’s being switched on so that interaction is more in line with what we would be doing face to face.
As well as ensuring that we show up with camera’s on at Teams meetings, we also encourage you to show up by uploading an image of yourself to your Teams account. Whilst it is not mandatory, we know that our staff believe it to be important.
Why is it a good idea?
- An image helps to humanise digital interactions, making colleagues feel more connected to you.
- In large organisations, it helps colleagues recognise and remember you, fostering a sense of team.
- A professional photo can build trust and credibility among your team members and external contacts.
- When participating in meetings or discussions, it's easier for others to identify who is speaking or contributing.
- People are more likely to engage with a profile that includes a photo rather than just an initial or a blank avatar.
- By displaying your photo, you encourage others to do the same, promoting a more inclusive and connected virtual environment.
In essence, using a profile image on Microsoft Teams can improve communication, build stronger professional relationships, and enhance your overall virtual presence.
The following guidance on image style and how to add or change your image will help to get you started. Consider giving it a go!
Step by step guide to adding/changing Microsoft Teams image

- Use a plain, uncluttered background. Neutral colours like white, beige, or light grey are ideal.
- Make sure there are no distracting objects or scenery in the background.
- Aim for a natural, friendly smile. Avoid overly serious or exaggerated expressions.
- Use a high-resolution image that is clear and not pixelated.
- Ensure the photo is well-lit, avoiding shadows on your face.
